Best Gym Management Software for CrossFit Boxes and Functional Fitness Gyms (2026)

Choosing gym management software for a CrossFit box or functional fitness gym is mostly about one question: how much of your day does it take off your hands? Class booking, waitlists, memberships, payments and WOD tracking all need to work together, or you end up running the gym from three apps and a spreadsheet.

We build booking systems for gyms (and we built Wod Lab, our own platform for functional fitness gyms), so we see the same problems again and again. Here is what to look for, and the options worth shortlisting.

What to look for in CrossFit gym software

  • Class booking that matches how you coach. Capped classes, waitlists that fill automatically, and late-cancel and no-show rules that apply themselves. If coaches still manage a WhatsApp list, the software is not doing its job.
  • Memberships, packs and drop-ins in one place. Unlimited plans, 8-class packs, punch cards, drop-ins and trials should all bill automatically, with failed payments retried.
  • WOD and results tracking members actually use. Logging, PRs, benchmarks and leaderboards keep members engaged. Check whether it is built in or a second app.
  • A member app and your own brand. Is the app branded as your gym or as the vendor? Can you export your members and payment history if you leave?
  • Total cost, not the headline price. Card-processing fees, add-ons (branded app, website, marketing, extra locations) and per-member tiers often matter more than the monthly subscription.

The best options, by type of gym

Best CrossFit-native all-in-one: PushPress

Built for independent gyms, with billing, scheduling, a well-liked member app, WOD tracking and leaderboards. It has a free entry tier, but the card-processing rate on that tier can cost more than a paid plan once your revenue grows, so do the maths on your own numbers.

Best for programming and performance data: Wodify

One of the most mature CrossFit feature sets, strong on programming, benchmarks and performance analytics. It is more complex than simpler tools, so it suits gyms that treat programming data as a core part of their offer.

Best for simple, predictable pricing: Gymdesk

Members, billing, booking, point of sale and marketing in one fairly simple system, priced by active member count. Reporting is lighter than the CrossFit specialists, and some extras (branded app, door access, extra locations) are add-ons.

Best for established or multi-location gyms: Zen Planner

Mature membership, billing and reporting features with skill and benchmark tracking. Website, marketing and branded-app modules are sold separately, so the total cost rises with what you add.

Best workout-tracking add-ons: SugarWOD and Beyond the Whiteboard

Both have popular athlete apps for logging workouts, PRs and benchmarks. SugarWOD is a tracker rather than a full management platform, so you will still need billing and scheduling elsewhere. BTWB has added scheduling, memberships and payments more recently.

Best if you also run wellness or retail: Mindbody

Broad scheduling, memberships, point of sale and a consumer marketplace. It is not built for CrossFit, so WOD tracking and leaderboards are limited, and costs grow with staff and add-ons.

Our own: Wod Lab

Full disclosure: we built it. Wod Lab is a class booking and membership platform for functional fitness gyms, with schedules, booking credits, waitlists, fair no-show and late-cancel rules, memberships and recurring payments, and an installable app branded for each gym. If you would like to see it, book a call.

When a custom system makes more sense

Off-the-shelf software is the right answer for most boxes. A custom build starts to pay for itself when:

  • you run several brands or locations with different rules, prices or coaches;
  • you combine CrossFit with Hyrox, personal training, physio or a café and want one member account across all of it;
  • you are paying for three or four tools and still keep a spreadsheet next to them;
  • you want to own the platform, the data and the app, with no per-member fees.

Before deciding, check the current pricing and terms on each vendor's own website: plans and card rates change often.
